Traineeship Administrative Officer

Stantec International Development, based in La Hulpe Belgium, is the Stantec unit that provides consulting services to international institutions, such as the European Commission (EC) and the European Investment Bank (EIB). The unit is composed of around sixty permanent employees who support the implementation of development cooperation projects in sectors relating to communication and stakeholders’ engagement, fight against climate change and support for the development of renewable and sustainable energies. Your role You will be supporting the office manager for a smooth running of the office as well as providing administrative support to HR team. This is a dual role combining your office manager skills and knowledge alongside your administrative skills. You will be required to demonstrate a combination of discipline, flexibility, and precision in all tasks. Office Manager Responsibilities • Management of correspondence in and out – reception calls and distribution of mails; • Liaise with building management/landlord and the different office suppliers (cleaning, maintenance of the office, printing leasing, catering, express courier, etc.); • Ordering of stationery and office supplies; • Organization of meetings – preparation of the room and materials ( IT, catering, etc); • Travel booking for the employees and visitors (flights, taxis and hotels); • Submission of expense reports for the managerial staff; • IT support contact point for the business unit – liaise with Global Helpdesk; • Organization of new employees and trainees on-boarding: preparation of IT material, team introduction, office visit, information on general procedures, etc.; • Administrative support to the HR team: on-boarding and exit documents preparation, company vehicles fleet, public transport tickets collection, company mobile phones, meal vouchers, etc. Title: Traineeship Administrative Officer Qualifications: Requirements • Academic background: Bachelor’s degree in secretarial management or equivalent; • Excellent organizational and follow up skills; ability to prioritize and excellent time management; • Professional, diplomatic and confident communicating at all levels within the organization and with external clients; • Ability to take initiative using own discretion and skills; • Computer literate: advanced use of MS Office - Excel, Word and Power Point; • Languages: fluent in English and French; • Excellent verbal and written communication skills; • Rigorous, accuracy and attention to detail; • Work ethics, enthusiastic, flexible and able to cope with multiple tasks.
